KVK filing for annual accounts. Filed right, every time.
Large businesses must file electronically from 1 January 2026, and PDF filing ends. XBRTags converts your annual report and tags it to the KVK taxonomy - you send the accounts, we return a validated SBR Report Package ready for the Zelf Deponeren portal or SBR software.
Electronic filing, phased in by size class.
KVK - Kamer van Koophandel, the Dutch Chamber of Commerce and keeper of the national Business Register - collects financial statements from companies as part of the national SBR programme. Micro, small and medium businesses have filed electronically for years. Large businesses are the final group, and their deadline has now arrived.
Large businesses could adopt structured electronic filing ahead of the deadline. Small and medium entities choosing iXBRL were temporarily exempt from tagging the notes.
Large businesses must file electronically for the past financial year. PDF is no longer an accepted filing format, and block tagging of the notes, management report and other information becomes mandatory.
iXBRL and XHTML are document formats, in the same sense as Microsoft Word's DOCX or Adobe's PDF. XHTML is the format used to display web pages, and iXBRL is built on top of it - which is why a single iXBRL file carries both the report a person reads and the tags a machine reads.
Does KVK filing apply to your company?
Send us the accounts. We handle everything else.
Entity-size taxonomy mapping
We confirm your micro, small, medium or large classification and map every line item to the matching KVK taxonomy entry point, in the NL-GAAP or IFRS version as your reporting framework requires.
Full detail and block tagging
Primary statements tagged line by line, with block tagging of the notes, management report and other information - mandatory for large businesses from the 2026 filing round.
Extensions and anchoring
Where a line item in your report has no standard concept, we create the company-specific extension and anchor it correctly, following KVK's naming conventions for extension taxonomy files.
Validated Report Package
Delivered as a Report Package within the 100 MB limit, validated before hand-off so it is ready to upload or route through SBR software.
Unlimited revisions
Director sign-off changes and late corrections included at no additional cost, until the filing is accepted.
Which taxonomy your filing uses.
You do not choose all of these separately. The KVK taxonomy is always the filing taxonomy; which supporting taxonomies come into play depends on your reporting framework and your disclosures. We determine the correct combination for you.
From statements to accepted filing.
Prepare and tag
The annual report is converted to XHTML and tagged to the KVK taxonomy, including the balance sheet, profit and loss, notes and statutory items.
Check the deadline
The accounts must be on file at KVK within 12 months of the end of the financial year.
Access the KVK portal with authorised credentials - eHerkenning, or DigiD where applicable.
Submit
Upload the Report Package to the portal, or route it straight through SBR-certified software.
Confirm receipt
Review the summary, complete the filing and keep the confirmation of receipt from KVK.
Tagging depth follows your entity size.
Abridged accounts - a balance sheet with minimal notes.
Abridged accounts - balance sheet with limited notes.
Profit and loss, cash flow, management report and additional disclosures.
As medium, plus mandatory block tagging from the 2026 filing round.
Size class is assessed against thresholds in Dutch law covering balance sheet total, net turnover and average number of employees. We confirm your classification before tagging begins.
"We manage KVK filings for eighteen group entities across three size classes. One workflow, delivered on time every year."
"We filed by PDF for years. XBRTags moved us onto iXBRL ahead of the 2026 deadline without disrupting our reporting cycle."
"Our size class changed mid-cycle and the disclosure requirements moved with it. XBRTags spotted that before we did."
KVK filing questions, answered.
Yes. Nearly all BVs, NVs, cooperatives, and mutual insurance companies are legally required to file (deponeren) annual accounts with KVK's trade register under Dutch law (art. 2:394 BW). Some larger foundations and associations with a business are also in scope. Sole proprietorships (eenmanszaak) are not.
Late filing can result in fines and, in cases of company insolvency, can expose directors to personal liability for improper management (onbehoorlijk bestuur) if the delay contributed to the company's financial problems. Filing must happen within 12 months of the financial year-end at the latest.
For micro and small entities without an audit requirement, KVK's own "Zelf Deponeren Jaarrekening" portal allows self-filing. Many companies still choose a specialist for accuracy and to avoid rejected filings, especially once financial statements involve more line items, notes, or an auditor's statement in the same format.
Yes. As of financial year 2025 (filings from 1 January 2026), the exemption that allowed large legal entities to file annual accounts on paper or as a PDF has ended - large entities must file electronically via SBR in iXBRL format.
XBRL is a standardized, machine-readable-only format with limited flexibility in presentation. iXBRL ("Inline XBRL") embeds the same structured data inside a human-readable document, so the filing looks like a normal report while remaining fully machine-processable - this is now required for large entities.
Some do. Larger foundations and associations that run a business above certain thresholds have a KVK filing obligation, similar to companies. Smaller stichtingen and verenigingen without that scale are generally exempt.
KVK itself does not charge a filing fee. Costs come from preparing the accounts (bookkeeper/accountant) and, if outsourced, from XBRL tagging services - pricing is generally scoped to the size and complexity of the statements rather than a flat fee.
Yes. Dormant entities and first-year/new companies typically qualify for simplified, lower-cost filing given the limited financial activity involved.
